Administrative Coordinator, Office of the Dean (Pharmacy)

About the Opportunity

Job Summary & Responsibilities:

The Administrative Coordinator in the School of Pharmacy and Pharmaceutical Sciences works daily and directly with the school dean on school priorities and initiatives and assumes primary responsibility for a wide variety of administrative activities and special events in the Office of the School Dean. The Administrative Coordinator proactively manages and anticipates the flow of the dean's work, sets priorities, and works efficiently and with great attention to detail, ensuring that work is planned and executed accurately. The coordinator will communicate professionally and effectively on behalf of the dean, building relations with key constituents, including faculty, college and university administrators, alumni and donors, external leaders and colleagues, accreditation contacts, and other strategic partners. The Administrative Coordinator supports advancement activities of the dean through tracking in Sales Force, making travel and calendar arrangements, managing invoices and reimbursements, preparing correspondence, providing project support, and archiving/maintaining data. The position is responsible for key initiatives related to publicity and promotion of the school, to include coordinating the publication of school newsletters and management of social media accounts. The Administrative Coordinator will direct and coordinate all aspects of the school's major events, overseeing discretionary budgets and expenses for these functions and implementing all related activities. This position is responsible for developing effective systems to manage the dean's administrative needs and will frequently handle sensitive and confidential information where judgment and discretion is required. The coordinator supports the work of the school's executive committee under the guidance of the dean and works as part of a larger team of staff who work collaboratively under the guidance of the school's Director of Operations, Finance, and Administration.

Additional Comments:

The School of Pharmacy and Pharmaceutical Sciences consists of two departments, multiple offices, and several research centers, and offers bachelors, masters, PhD, and Doctor of Pharmacy degrees. The coordinator must be familiar with the dynamic structure and functions of the school to effectively carry out job responsibilities. The school's staff are currently operating under a hybrid model which includes in-person and remote work. Occasional evening or weekend in-person coverage may be required, particularly related to special event support.

Qualifications:

Bachelor's degree with a minimum of 3 - 5 years of progressive executive or administrative experience required, preferably with a background in higher education. Excellent verbal and written communication skills. Critical thinking skills, project management ability, and attention to detail required. Must have excellent computer skills including proficiency in MS Office Suite, online meeting platforms, spreadsheet, Adobe, website software, and AV technology. Individual must have strong organizational, communication (both oral and written),and excellent interpersonal and relationship-building skills. Must be accurate and detail-oriented, able to understand complex material, and must be able to work with confidential information and prioritize tasks and demands. Must be self-directed and follow through on tasks independently with great attention to detail. Must possess a thorough knowledge of professional office procedures, good judgment, discretion and problem-solving skills. Must effectively multitask in a fast-paced busy office and have a strong customer service orientation.
